Please refer to the "Study Abroad Hand Book" distributed
at the orientation.

■Those students departing in Fall, 2009,

CIE will inform you the necessary procedure for application
to your host university.

After applying for your host university, the center will let you know when we receive the "Letter of Acceptance". You should strive to collect local information and improve your language skill, before you receive the "Letter of Acceptance". Please note that it takes a considerable amount of time for a host university to process your application. Consequently, it may be just prior to your departure when you receive the "Letter of Acceptance" from your host university.

After receiving the "Letter of Acceptance", please follow the CIE staff's instructions and proceed with the necessary preparations before studying abroad (arrangement of the student visa, an accommodation, the flight ticket and so forth)
IMPORTANT! CIE will give you important notice through Waseda-net e-mail while you are abroad.

Please check Waseda-net e-mail regularly and pay attention
to your account capacity to avoid "overquota".

2. Course Credit Approval

Please bring back the necessary documents from your host university for course credit approval. You should prepare and bring back the appropriate documents, if you wish some subjects to be recognized. Documents required for credit approval are listed below.


  • Transcript of Academic Records
    * You must make the necessary arrangements to have your academic transcript issued by the host university before returning to Japan.
    * In case the host university doesn't issue an academic transcript, please ask tutor or supervisor to write a "Letter of Evaluation" or ask to issue a "Course Completion Certificate" before returning to Japan. Please note that nothing will be issued if you haven't paid accommodation fees or other fees.

  • Syllabus, Course Description, etc.

  • University Calendar (the number of days in terms, the number of classes per week, hours and explanations on academic regulations in catalogue, brochure and etc.)

  • Textbooks, A list of Reference Books, Term Papers, Answer Sheets, Comments from Supervisor or similar items.

  • Other Documents which could be useful for Credit approval
    * Even though you don't need any credit approval, an academic transcript or student registration certificate will be needed (to certify that you registered in a foreign higher education institution and studied there) . Please note that the state "studying abroad" may be cancelled without those documents.



[Note]
Every year, the Center for International Education has numerous inquiries about "Transcripts of Academic Records" not yet delivered from a host university from students after returning to Japan. The possible reasons are as follows;

(1)You did not make the necessary arrangements to have your academic transcript issued at the host university.
(2)You haven't paid necessary fees (room and board fees, etc).
(3)Missing mail

It may take much more time and, in some cases, cost to have your academic transcript issued from Japan after returning to Japan than while studying abroad. It is strongly recommended that "you must make an arrangement to have your academic transcript issued at your host university while abroad."
1. Notification of Return to Japan for your graduate/undergraduate school office

You need to submit a "notification of return to Japan" to your graduate/undergraduate school office together with the student registration certificate from your host institution and/or the academic transcript stating the duration of your study as soon as you return to Japan. Moreover, in order to have the credits you earned at your host university recognized and transferred to Waseda University, you need to apply to your graduate/undergraduate school office with academic transcripts from your host institution and other documents which are required for credit approval (please refer to your undergraduate / graduate school for specific requirements).

2. Notification of Return to Japan to Center for International Education (CIE) and Report of Return to Japan

1. Click 「国際交流・留学」on the left of the Waseda-net portal top page.
2. Enter the form page from「【留学終了届・帰国報告書】Notification of Completion of Study Abroad and Report of Return to Japan」

* Besides above, there are necessary procedures in your respective office. Please follow thier instruction.
* If your transcript is sent to the CIE, it will be forwarded to your respective office.
